Cancellation & refunds
Plans change. We made that easy.
Booking a trip months out should never feel like a gamble. So we built a policy that protects you the way a great host would: clear, generous, and human. Here is exactly how it works.
How we treat a change of plans
Generous by design
Name substitution
Send someone in your place, free
Cannot make it? Give your spot to a friend any time up to 30 days before arrival, at no charge. You keep every dollar of value; they get the trip. The simplest fix of all.
Future trip credit
Your money keeps its value
Cancel early and what you have paid converts to cash or credit on the schedule below, and every credit we issue never expires. We commit to the resort and the courses on your behalf the day you book, which is why cash refunds step down as departure approaches.
Named storms
If the weather turns
If a named storm or anything on our end disrupts the trip, you choose: a full refund or a full rebooking. No penalty, no fine print. The Caribbean's one real variable, already handled.
If you need a refund
What you get back, by timing
Refunds are based on how far out you cancel. The closer we get, the more we have already committed on your behalf: villas, tee times, and transfers. Everything below is figured on what you have actually paid.
120+ days before departure
100% of what you have paid as future trip credit. Credit never expires.
90 to 119 days before departure
50% cash refund, or 100% as future trip credit.
45 to 89 days before departure
25% cash refund, or 60% as future trip credit.
Under 45 days before departure
No refund or credit. Free name substitution to 30 days out; concierge best effort after that.
Whenever cash and credit are both on the table, the credit option is worth more, and every credit we issue never expires. Trip credit you had already applied to a booking returns to your account on any cancellation before departure; the schedule above governs the cash you paid on this booking. A free name substitution keeps your whole booking intact right up to 30 days out, and inside that window your concierge will still arrange a best effort substitution.
What is never refundable
Missed flights, illness or injury, weather that delays your own travel, personal emergencies, unused rounds or nights, early departures, and missing or invalid travel documents are not grounds for a refund or credit. These are exactly the risks travel insurance exists for, and we strongly recommend travel protection insurance for every golfer, covering trip cancellation, medical care, and emergency evacuation.
If we ever have to cancel
You're fully protected
In the rare event Arrive Golf cancels a trip, whether a named storm, a vendor failure, or a group that does not reach its minimum, you choose a complete refund of everything you have paid, or a full rebooking onto another trip. No fees, ever. We make any decision to proceed as early as we responsibly can, and we tell you the moment we do.
How to cancel or make a change
One message. We handle the rest.
No forms to fight with. Message your concierge to cancel or make a change, and we'll confirm exactly what you are owed and take care of it personally. Cash refunds go back to your original payment method.
This summary describes our standard policy and is offered in good faith; the binding terms are those in your booking agreement and Terms of Service. Specific trips may carry different vendor terms, which we'll always state clearly before you book.
