Cancellation & refunds
Plans change. We made that easy.
Booking a trip months out should never feel like a gamble. So we built a policy that protects you the way a great host would: clear, generous, and human. Here is exactly how it works.
How we treat a change of plans
Generous by design
Name substitution
Send someone in your place, free
Cannot make it? Give your spot to a friend any time up to 30 days before departure, at no charge. You keep every dollar of value; they get the trip. The simplest fix of all.
Cash refund
Cancel early, get your money back
Cancel well ahead of departure and everything you paid on your card comes back, minus the trip's deposit. We commit the resort and the courses on your behalf the day you book, so that deposit holds your place; closer in, the trip becomes nonrefundable.
Named storms
If the weather turns
If a named storm or anything on our end disrupts the trip, you choose: a full refund or a full rebooking. No penalty, no fine print. The Caribbean's one real variable, already handled.
If you need a refund
What you get back, by timing
Refunds are based on how far out you cancel. The closer we get, the more we have already committed on your behalf: villas, tee times, and transfers. Everything below is figured on what you have actually paid.
More than 120 days before departure
Everything you paid on your card comes back, less the trip's deposit, which is nonrefundable. Any trip credit you had applied returns to your account.
120 days or fewer before departure
Nonrefundable — the resort and tee times are committed. Any trip credit you had applied still returns to your account, and a free name substitution is open up to 30 days out.
Days before departure are counted as calendar days in US Eastern time, so an evening cancellation always counts as the day you made it. The trip's deposit is nonrefundable; the schedule above governs the rest of what you paid on your card. Any trip credit you had already applied to a booking returns to your account on any cancellation before departure. A free name substitution keeps your whole booking intact right up to 30 days before departure, and after that your concierge will still arrange a best-effort substitution.
Date-flexible packages
A simpler line, tied to your arrival
An individual package you schedule yourself follows one clean rule, counted against the arrival date you pick:
31+ days before you arrive
Fully refundable: 100% of what you have paid comes back to your original payment method, and any trip credit you applied returns to your account.
30 days or fewer before you arrive
Non-refundable. We have committed your resort nights and tee times; reach your concierge with any change and we will do what we can.
Days are counted as calendar days in US Eastern time; any trip credit you had applied returns to your account on a full refund.
What is never refundable
Missed flights, illness or injury, weather that delays your own travel, personal emergencies, unused rounds or nights, early departures, and missing or invalid travel documents are not grounds for a refund or credit. These are exactly the risks travel insurance exists for, and we strongly recommend travel protection insurance for every golfer, covering trip cancellation, medical care, and emergency evacuation.
Weather and golf-course rain checks
Each course sets and runs its own inclement-weather and rain-check policy — whether it stays open, suspends play, shortens a round, or issues a rain check is the course's call, not ours. If weather interrupts your round, ask the golf shop about their rain-check policy at check-in and collect any rain check or documentation directly from the shop before you leave that day. Arrive Golf does not refund or credit golf affected by weather and cannot obtain a rain check on your behalf; any rain check is governed solely by the issuing course's terms. We recommend checking the day's forecast and the course's policy before you tee off.
If we ever have to cancel
You're fully protected
In the rare event Arrive Golf cancels a trip, whether a named storm, a vendor failure, or a group that does not reach its minimum, you choose a complete refund of everything you have paid, or a full rebooking onto another trip. No fees, ever. We make any decision to proceed as early as we responsibly can, and we tell you the moment we do.
How to cancel or make a change
File it from your account, or just ask.
Request a cancellation or a substitution right from your account, where you can see exactly what our policy returns before you confirm. Prefer a person? Talk to a concierge and we'll take care of it. Either way, a concierge reviews every request, nothing is charged automatically, and cash refunds go back to your original payment method.
This summary describes our standard policy and is offered in good faith; the binding terms are those in your booking agreement and Terms of Service. Specific trips may carry different vendor terms, which we'll always state clearly before you book.
